Closing a business

Export your company data before you delete it

Deleting a workspace or letting a subscription lapse destroys history no one can recover, and that history is what AI developers license. Here is how to export each tool with its history intact.

Deleting a workspace or canceling a SaaS plan often destroys its history for good. Before you close or switch tools, export chat, email, files, issues, wiki pages, support tickets and CRM records in their native formats, with timestamps and IDs intact. Shut-down startups have licensed intact archives for $10,000 to $100,000 (Medium confidence) in reported deals; a deleted archive is worth nothing.

Export before you delete or cancel anything

These rules save most archives. Each one is explained, with its source, in the guides below.

  1. Keep admin access and the plan until the export is checked.

    Some exports need an admin or a higher plan: Slack exports private channels and direct messages only on Business+ and Enterprise, and only after Slack approves or enables the export tool (Slack Help Center, (opens in a new tab)).

  2. Do not delete leavers' accounts first.

    In the big office suites, deleting a user starts a countdown after which their mail, chats and files are purged, and holds stop applying. Check the window for each tool on its vendor's help page before you remove anyone.

  3. Export native formats.

    JSON, MBOX or PST and CSV files with IDs and timestamps keep the links between records that AI developers license. PDFs and screenshots lose them.

  4. Download what the export only links to.

    Slack exports carry links to files, and the links stop working once the workspace is deleted (Slack Help Center, (opens in a new tab)).

  5. Keep the paperwork, and someone who can sign.

    Contracts, IP assignments and consents prove you own what you exported. A UK company's remaining property passes to the Crown when it is dissolved (legislation.gov.uk, (opens in a new tab)).

Slack

Workspace owners can export public channels on every plan from Admin, then Workspace settings, Security and Import & export data. Private channels and direct messages can be exported only on Business+ and Enterprise, after Slack approves an application or enables the tool, and the export carries links to files rather than the files themselves (Slack Help Center, (opens in a new tab)).

Who
Workspace owners on Free, Pro and Business+; org owners and admins on Enterprise; and members with the Export admin system role.
What you get
Public channels on every plan. All channels and direct messages on Business+, after Slack approves an application for the self-serve export tool, and on Enterprise once Slack Support enables it. Free and Pro cannot export private channels or direct messages.
Format
A ZIP with one folder per channel or conversation, messages grouped by date in JSON files, plus lists of users and channels. Files appear as links.
How long
Slack emails you when the export is ready. Approved Business+ workspaces can also schedule weekly or monthly exports.
Left out
The files themselves. On the Free plan, file links cover only the last 90 days, and data more than a year old is deleted.

Steps

  1. Click Admin in the sidebar, then Workspace settings.
  2. Click Security, then Import & export data, then the Export tab.
  3. Under Export date range, choose the widest range on offer.
  4. Click Start export. Slack emails you when it is ready.
  5. Open the email, select Visit your workspace's export page, then Ready for download to get the ZIP.
  6. Download the files the export links to, and keep them with the ZIP, before you delete anything.

On Enterprise, org owners first ask Slack Support to turn on the export tools. Then click your organization's name, then Tools and settings, Organization settings, Security and Exports.

Watch out for

  • Deleting a workspace is permanent: messages and files cannot be retrieved afterward. Only the primary owner can delete one (Slack Help Center, (opens in a new tab)).
  • File links stop working once a file, its channel or the workspace is deleted, so download the files first.
  • On the Free plan only the last 90 days of history are visible, and since August 26, 2024 messages and files more than a year old are deleted. Export before you downgrade (Slack Help Center, (opens in a new tab)).
  • A retention setting may already have deleted older messages, so check it before you rely on the export.
  • Thread replies sit in the channel's dated files, alongside other messages.

Slack history usually licenses as part of a company archive.

Teams chats and channels

Export Teams chats and channel messages with Purview eDiscovery, the compliance portal of the suite: someone in the eDiscovery Manager role group creates a case, searches the people and teams involved, and exports the results as PST files, with the option to turn conversations into HTML transcripts.

Who
A user in the eDiscovery Manager role group, which includes the Export role. eDiscovery needs an enterprise license tier, so check which licenses your plan includes.
Where chats live
One-to-one and group chats in each participant's mailbox; standard channel posts in the team's mailbox; private channel posts in members' mailboxes; shared channel posts with the parent team. Files sit in OneDrive for chats and SharePoint for channels.
Format
PST files or individual .msg files, packed into zip packages. Documents keep their native formats.
How long
Large exports take longer, and an export that runs too long without finishing is canceled automatically, so split exports by people or dates.
Download window
Limited: the export package is deleted after a set number of days and cannot be recovered. Check the current window on the vendor's help page.

Steps

  1. In the Purview portal, add yourself to the eDiscovery Manager role group under Role groups.
  2. Open eDiscovery, then Cases, and create a case.
  3. Create a search and add the people and teams to cover: mailboxes hold chats, the teams hold channel posts, and OneDrive and SharePoint hold the files.
  4. Run the search with no date limit, then select Export.
  5. Choose Create PSTs for messages, include Teams conversations, and turn on Organize conversation into HTML transcript for readable threads.
  6. Download every package as soon as it is ready, before its download window closes.

Watch out for

  • Deleting a user starts a clock on their mailbox, which holds their chats. Place a hold first: a mailbox on hold becomes an inactive mailbox instead of being purged.
  • Search shared channels through the parent team's mailbox.
  • Export packages are deleted after their download window and cannot be recovered.
  • Files restricted by data loss prevention rules, and content in locked sites, cannot be exported.

Gmail, Drive and Chat

Super admins export the whole organization with the Data Export tool in the Admin console, under Data, then Data import & export. Vault exports chosen users' Gmail and Chat as MBOX or PST, and each user can download their own data with Takeout if you allow it.

Who
Data Export tool: a super admin account that is not newly created, with two-step verification on. Vault: users with the Manage Matters, Manage Searches and Manage Exports privileges. Takeout: each user, if the admin allows it.
Plans
The Data Export tool works on every edition, but large organizations, and those with FedRAMP authorization, must contact the vendor's support first. Vault comes with some editions, or as an add-on.
What you get
Gmail, Drive including shared drives, Calendar, Chat, Contacts, Groups, Keep, Tasks and more, as zip files in a Cloud Storage bucket. Meet recordings sit in Drive.
How long
Data Export: days rather than hours for a large organization. Vault: large exports can take several hours.
Download window
Each export is deleted after a set number of days, and Takeout limits how often an archive can be downloaded. Check the current windows on the vendor's help pages.
Left out
Deleted data, unless Vault retained it, and accounts created just before the export.

Export the whole organization

  1. Sign in to the Admin console with a super admin account that is not newly created and has two-step verification on.
  2. Go to Menu, then Data, Data import & export and Data export.
  3. Select Set up new export, and choose all users or specific groups or organizational units.
  4. Start the export, and expect it to take days for a large organization.
  5. Open the archive in its Cloud Storage bucket and download it before the export is deleted.

Export chosen users with Vault

  1. Sign in to Vault with the Manage Matters, Manage Searches and Manage Exports privileges.
  2. Open a matter and search the users, groups or shared drives you need.
  3. Click Export, name it, and choose MBOX or PST for Gmail, Groups and Chat.
  4. Download the files as soon as the export finishes, before they are deleted.

Watch out for

  • Deleting a user deletes their data, Vault holds stop applying, and the data can be recovered only briefly. Give leavers an Archived User license instead.
  • Vault stops an export that runs too long, so split large ones by user or date.
  • Data Export archives are deleted a set number of days after the export starts, so download them promptly.
  • Meet recordings are saved in the organizer's Drive, in the Meet folder, so export the organizer's Drive as well.

Outlook mail, OneDrive and SharePoint

Export Outlook mailboxes, OneDrive and SharePoint with Purview eDiscovery: mail comes out as PST or .msg files and documents in their native formats, with every version if you ask for it. A single mailbox can also be exported from Outlook.

Who
A user in the eDiscovery Manager role group; eDiscovery needs an enterprise license tier, so check your plan. For one mailbox, its owner in Outlook.
What you get
Mailboxes as PST files or individual .msg files. OneDrive and SharePoint documents in native formats, with the latest version, a set of recent versions, or all versions.
Format
Zip packages, with large mailboxes split across several PST files.
Download window
Limited: packages are deleted after a set number of days. Check the current window on the vendor's help page.
Left out
Files restricted by data loss prevention rules, and content in locked sites.

Steps

  1. In the Purview portal, add yourself to the eDiscovery Manager role group.
  2. Open eDiscovery, then Cases, create a case and add a search.
  3. Add the mailboxes, OneDrive accounts and SharePoint sites to export, with no date limit.
  4. Select Export, choose Create PSTs for messages, and set document versions to All versions if you want revision history.
  5. Turn on the option that condenses long paths, then download the packages before their download window closes.

For one mailbox in new Outlook for Windows, go to Settings, then Files, then Export.

Watch out for

  • A deleted user's mailbox is kept only briefly. After that it is gone, unless a hold made it an inactive mailbox.
  • A deleted user's OneDrive is kept only for a limited period by default, with access passed to their manager, then moves to the recycle bin before it is purged.
  • Export packages are deleted a set number of days after the export.
  • Very long file paths can break unzipping, which is why the condense-paths option exists.

Jira and Confluence

Jira and Confluence Cloud each have a Backup manager for admins: Jira's sits under Settings, then System, and Confluence's under Settings, then Data management. Include attachments, and choose CSV for Confluence, because the vendor stops supporting XML site and space exports on December 1, 2026 (Atlassian Support, (opens in a new tab)).

Who
Jira: an admin with access to system settings. Confluence: a site admin; space admins can export single spaces.
Jira backup
Work items (issues) with their fields and comments, boards and sprints, users and groups, attachments, avatars and configuration, as a ZIP of files and folders.
Confluence backup
Pages, whiteboards, team calendars, selected user and group settings, and attachments if you include them.
Limits
Jira: the vendor recommends staying within 25 GB of data, and backups that include attachments need 48 hours between them. Confluence: up to 30 GB plus 800 GB of attachments.
Download window
Confluence keeps the download link for 14 days, and keeps a single backup.
Left out
Jira: automation rules, third-party apps and their data, and Assets. Confluence: spaces in the trash and database content.

Back up Jira

  1. Go to Settings, then System, then Backup manager.
  2. Choose a backup for cloud, and include attachments, avatars and logos.
  3. Create the backup and download the ZIP when it is ready.
  4. List what the backup leaves out, such as automation rules and app data, and export what you need from those tools.

Back up Confluence

  1. Open Confluence administration from the settings icon, then Data management and Backup manager.
  2. Choose CSV as the export format and select Backup attachments.
  3. Select Create backup for cloud and download the file within 14 days.
  4. For a single space, open Space settings, then Export, and choose CSV or HTML.

Tickets linked to the code that closed them are usually worth more than either alone.

GitHub and GitLab

Preserve code with git clone --mirror, which keeps every branch, tag and commit, then export issues and pull requests separately: on GitHub with a migration archive started through its REST API, on GitLab with Export project in each project's settings (GitHub Docs, (opens in a new tab)).

Who
Mirror clone: anyone with read access. GitHub migration archive: owners of the organization's repositories. GitLab export: project Maintainers and Owners.
GitHub archive
Repositories with issues, comments, pull requests and reviews, commit comments, releases, milestones, wikis and attachments, as migration_archive.tar.gz. Left out: Git LFS objects and anything else not on the migrated list, such as discussions and packages.
GitLab export
The repository, issues with comments, merge requests with their latest diff only, wiki, uploads, labels, milestones, snippets, releases and LFS objects, as a .tar.gz file. GitLab.com imports files of up to 5 GB.
GitLab leaves out
CI/CD variables, job traces and artifacts, package and container registries, and webhooks.
Download window
GitHub deletes migration archives after seven days; GitLab deletes export files every 24 hours.

Mirror every repository

  1. Run git clone --mirror with the repository's URL.
  2. If the repository uses Git LFS, run git lfs fetch --all inside the mirror.
  3. Clone the wiki as well: it is a separate git repository.
  4. Repeat for every private repository, and keep a list of what each mirror is.

Export GitHub issues and pull requests

  1. As an organization owner, create an access token and start a migration with a POST request to the organization migrations endpoint, listing the repositories.
  2. Check the migration's status until it reads exported.
  3. Download the archive from the migration archive endpoint within seven days.

Export a GitLab project

  1. Open the project's Settings, then General, then Advanced.
  2. Select Export project.
  3. Download the file from the emailed link or the settings page within 24 hours.

Watch out for

  • Do not squash history or start a fresh repository when you migrate: at standing rates, history often carries more than half of a repository's price.
  • Code that was ever public, forked from a public project or published as a package is usually priced very differently from private code (Rightmark, ), so list it separately.
  • Rotate any secrets in the history before anything is shared; deleting them in a new commit leaves them in old ones.
  • GitLab exports only the latest diff of each merge request, while the mirror keeps every commit (GitLab Docs, (opens in a new tab)).

What it is worth

Zendesk and Intercom

Zendesk admins export tickets from Admin Center, under Account, Tools and Reports, once Zendesk has enabled exports for the account; choose JSON, because CSV leaves out the conversation. Intercom exports full conversations as JSON to a cloud storage bucket you own, from Settings, then Data, then Imports & exports (Zendesk Help, (opens in a new tab) Intercom Help, (opens in a new tab)).

Who
Zendesk: admins, after the account owner asks Zendesk Customer Support to enable data exports. Intercom: an admin with access to data exports.
Plans
Zendesk: all Suites Growth, Professional, Enterprise or Enterprise Plus, or Support Professional or Enterprise; not Team plans. Intercom: check your plan.
Zendesk formats
JSON, recommended above 200,000 tickets and including comments unless a ticket holds more than 1 MB; CSV, without comments or descriptions; XML, with comments, up to 500 MB and not offered above 200,000 tickets.
Intercom format
JSON or JSONL, one conversation per record, with attachments, covering up to two years of history and then hourly or daily updates.

Zendesk emails a link that stays valid for at least three days.

Export Zendesk

  1. As the account owner, ask Zendesk Customer Support to enable data exports.
  2. In Admin Center, go to Account, then Tools, then Reports.
  3. Choose JSON for tickets; accounts with more than a million tickets export in 31-day increments.
  4. Download the file from the emailed link within three days.

Export Intercom

  1. Go to Settings, then Data, Imports & exports and Export data.
  2. Choose JSON or JSONL, connect your S3 or Cloud Storage bucket and test the connection.
  3. Turn on the historical export, which covers up to two years, and set hourly or daily updates if the workspace is still in use.
  4. Confirm through the verification email and watch progress in the status table.

Watch out for

  • Zendesk CSV exports leave out ticket comments, which carry the conversation itself; use JSON or XML.
  • In a JSON export, tickets with more than 1 MB of data arrive without their comments.
  • AI agent tickets cannot be exported from Zendesk.
  • Intercom's historical export reaches back two years, and CSV exports from reports carry metadata only, so older conversations need the Conversations API (Intercom Help, (opens in a new tab)).

What it is worth

Resolved tickets with internal notes and escalations carry the most context.

Notion

Workspace owners export everything from Settings, then General, then Export all workspace content, as HTML or as Markdown and CSV. Choose HTML to keep page and block comments (Notion Help Center, (opens in a new tab)).

Steps

  1. Open Settings, then General.
  2. Select Export all workspace content.
  3. Choose HTML and include comments, or Markdown and CSV.
  4. Download the file from Notion's email within 7 days.

Watch out for

  • Other members' private pages are not included, so ask their owners to move or share them first.
  • If your email notifications are off, the download link arrives in your Notion inbox instead.
  • You cannot recreate the workspace by uploading the export, so keep the workspace until you have checked the files.

HubSpot and Salesforce

HubSpot exports CRM records one view after another from each object's list, while emails, calls and notes need activity reports or the API. Salesforce exports every object as CSV files from Setup, then Data Export, weekly or monthly depending on your edition (HubSpot Knowledge Base, (opens in a new tab) Salesforce Help, (opens in a new tab)).

Who
HubSpot: users with export permissions. Salesforce: users with the Weekly Data Export permission, which only the System Administrator profile has by default.
HubSpot
CSV, XLS or XLSX per view, with associated records; files above 1,000,000 rows arrive split in a zip, and up to 300 exports run in any rolling 24 hours.
Salesforce
CSV files in .zip archives of up to 512 MB each, with options to include images, documents, attachments, Salesforce Files and CRM Content.
Frequency

Export HubSpot

  1. Open an object, such as Contacts, Companies, Deals or Tickets, and the view to export.
  2. Click Export, then choose the file format and the properties and associations to include.
  3. Download the file from the emailed link within 30 days.
  4. Export emails, calls and notes separately, through activity reports or the API.

Export Salesforce

  1. In Setup, search for Data Export.
  2. Choose Export Now, or Schedule Export for regular backups.
  3. Include images, documents and attachments, and Salesforce Files and CRM Content.
  4. Download every .zip file within 48 hours of the email.

Watch out for

  • Salesforce export files disappear after 48 hours, and the next export waits 7 or 29 days.
  • HubSpot exports one view after another, so plan an export for every object you use.
  • CRM records hold customers' personal data and may be bound by contracts, so they are de-identified, and masked before anything reaches an AI developer.

Meeting recordings: Zoom, Meet and Teams

Download meeting recordings from wherever each platform keeps them: Zoom cloud recordings from the web portal or its API, Meet recordings from the organizer's Drive, and Teams recordings from the OneDrive of the person who recorded. Keep the transcripts with them (Zoom Support, (opens in a new tab)).

Zoom
Account owners and admins see every cloud recording in Recording and Transcript Management, and can download each one. Each user sees their own under Recordings & Transcripts.
Meet
Saved in the organizer's Drive, in the Meet folder, so Drive exports include them.
Teams
Saved in the OneDrive of the person who recorded the meeting, so a OneDrive export includes them.
In bulk
Zoom's Cloud Recording API lists a user's cloud recordings by date range, so you can download every file.
Deleted recordings
Zoom keeps deleted cloud recordings in the trash for 30 days, then deletes them permanently.

Steps

  1. Sign in to the Zoom web portal as an owner or admin and open Recording and Transcript Management.
  2. Open each recording and click Download.
  3. For many recordings, list each user's recordings through the Cloud Recording API by date range, and download every file.
  4. Keep transcripts and chat files with the video.

After the export: what to keep, and who can sign

Keep the paperwork that proves you own what you exported, store the exports safely, and make sure someone can still sign for them after the company closes.

  • IP assignments from founders, employees and contractors.
  • Client contracts, and any consent letters for client work.
  • Staff notices or policies that cover the use of work records.
  • Earlier data licenses, and software contracts that may claim training rights over your data.
  • A data inventory: each tool, its admin, the years it covers and rough volumes.
  • Encrypt exports at rest and limit who can open them.
  • Keep the original ZIP, JSON and PST files; do not convert them to PDF.
  • Send raw exports to no one before an NDA and de-identification.
  • Check what the law makes you keep before you delete anything.

What happens to Slack messages when you delete a workspace?

Deleting a Slack workspace permanently deletes its messages and files, and they cannot be recovered. On the Free plan only 90 days of history are visible and data more than a year old is deleted, so downgrading also loses history. Export first: public channels can be exported on every plan, while private channels and direct messages need Business+ or Enterprise, and Slack must approve or enable the export.

Which company data should I keep when closing a business?

Chat, email, shared drives, issue trackers, wikis, support tickets, CRM records, code repositories with full git history and meeting recordings, plus the contracts and IP assignments that prove you own them. Legal retention rules may also require you to keep some records.

Which export format do AI developers want?

Native exports with timestamps, user IDs and links intact: Slack JSON, PST or MBOX mailboxes, Jira and Confluence backups, Notion HTML or Markdown, Zendesk JSON, Salesforce CSV and git repositories cloned with full history. PDFs and screenshots lose most of the value.

Is it legal to export employees' messages?

A company can usually export its own workspace data for business purposes. Licensing it to a third party needs more: de-identification, any notices your law requires, and exclusion of private and HR material. These are settled at scoping, and nothing is licensed until you sign.

Who can sign for the data after the company closes?

While the company exists, its directors, with board approval where needed. In a liquidation or administration, the liquidator or administrator; in a US assignment for the benefit of creditors, the assignee. In the UK, property still held by a company when it is dissolved passes to the Crown as bona vacantia, so license or transfer the data before the company is struck off.
